Sara’s Ride is a specialized Non-Emergency Medical Transportation (NEMT) service operating in partnership with Rain Assembly. They provide reliable, scheduled transportation for dialysis patients, physical therapy appointments, hospital discharges, and elderly care visits across metropolitan and suburban zones.
The Challenge: Manual Bottlenecks & Booking Leakage
Before our intervention, ride bookings were handled primarily through incoming phone calls, fragmented voicemails, and scattered emails. This caused severe operational friction:
- Missed Opportunities: Over 35% of inbound calls went to voicemail during peak transit hours, leading frantic family members and clinics to contact competing transit providers.

3. Multi-Channel Driver Dispatch & Pipeline Stages
Built a visual Opportunity Pipeline mapping riders across clear fulfillment stages: New Request → Verified & Quoted → Driver Assigned → En Route → Completed → Billed. Driver assignment triggers automated SMS notifications to the assigned driver with trip coordinates and rider-specific mobility notes.
4. 3-Touch Automated Rider & Facility Reminder Flow
Integrated an automated reminder sequence: 24 hours prior (SMS confirmation), 2 hours prior (prep notice), and 15 minutes prior (driver arrival alert). Riders can reply “CONFIRM” or “RESCHEDULE”, which dynamically updates the dispatch board.
